Non-Student Performer and Presenter Policy

The Orange Airsoft Club at Oregon State University welcomes presenters, exhibitors, trainers, safety demonstrators, and other contributors from both students and non-students. However, because Oregon State University's insurance only covers student participants, non-student contributors must meet additional requirements for compliance.

1. Live Demonstrations, Exhibits, and Presentations Require Insurance

Non-students who wish to conduct a live presentation, exhibit, safety demonstration, or other interactive contribution at our event must provide proof of general liability insurance with at least:

  • $1 million per occurrence
  • $2 million aggregate

For high-risk activities (including use of replica firearms, pyrotechnics, or physically active demonstrations), the following coverage applies:

  • $2 million per occurrence
  • $4 million aggregate

Additional coverage may be required at the discretion of OSU facility management.

Your Certificate of Insurance (COI) must list:

  • Oregon State University as the Certificate Holder:
Oregon State University
3015 SW Western Blvd.
Corvallis, OR 97333
  • Oregon State University as an Additional Insured, with the language:

"Oregon State University, its officers, board members, agents, and employees are named as additional insured."

No live demonstrations or exhibits may proceed without a valid COI on file.

2. Alternative Option: Pre-Recorded Submission

If you cannot meet the insurance requirement, you may submit a pre-recorded video of your presentation, demo, or exhibit. Submissions will be reviewed for compliance with:

  • OSU policies
  • Orange Airsoft Club's safety and content policies

All demonstrations and submissions must not use copyrighted materials without permission or legal exception. This includes:

  • Visuals (game footage, images, third-party media)
  • Audio (music, sound effects, voice clips)

Unauthorized use of copyrighted content will result in rejection or cancellation of the contribution.

4. Screening and Approval

All submissions are subject to review by the Orange Airsoft Club. We reserve the right to reject any content that does not comply with university or club policies.
